Sharing your dashboard with your team
Using the GHC platforms in teams is also a powerful way to improve focus, accountability and unity as you pursue shared and visible goals together.
This quick setup guides you through a process so that you can share your dashboard with your team. Note that you can’t simply copy the URL of your dashboard since you’ve authorised your particular google account with the GHC connector. It’s a good idea to get a handle on what sharing means:

Create a Copy

To create a copy open the dashboard and move your mouse to the top: the datastudio menu will slide down. Click the three dot (⠇) menu. Select “Make a Copy”
A dialogue box will appear. Click “Copy Report” leaving default ‘New Data Source’ values. The titles of sources will vary depending on your church management system and dashboard you’re copying. Google Dashboards recently updated their system and it appears to have a bug that removes the names of sources. Simply ignore and hit “Copy Report”
You will taken to the edit screen of your own copy. Rename the report by clicking the “Copy of Church Health Toolkit” in the top left
Reconnect Data
From the menu bar select “Resource” and click “Manage added data sources”
For each data source (noting those sources might vary for your specific instance), click “Edit”
Click the “RECONNECT” button in the top right of the screen.
If a dialogue box appears containing changes then ignore it and select continue.
- Note that in some cases the reconnection with produce an error. In this case a dialogue box will appear, select “OK” and then select “FIELDS →” under the blue “RECONNECT” button.
For each data source select “Data Credentials” and change to “Owner’s Credentials” and select “Update”
Select “Done” and repeat this process for each data source.
Click “Close” to return to the dashboard
Set Default Values
While you are in the edit screen for your local copy of the dashboard, you can set the default filter values so that people you share this with will open to a default filter set.
This is an optional step – you can skip this by simply scrolling down and selecting “Next”
To create default filter values click on either the demographic or location control box. The data panel will open up and you can add “Default selection” values separated by a comma. You will need to enter the exact values separated by commas.
Sharing Settings
The final step is simply to share this local copy with your team.
Click the “Share” button in the top left to open a dialogue box with sharing options.
If your team is on the same google domain then:
- Select “Manage Access” and “Anyone on <your domain> with link can view”
- In addition to this you can also add individual google emails from outside your domain in the “Add people” tab
- Then copy URL to save Share Link below.
Otherwise add you team members individually.
- Select “Add People” and add google accounts of your team.
If you are using a Medium or Large church plan and have my Team GHC members then:
- You can view all google accounts in your team by clicking toggle below
- Your team members can update their google account in their myGHC account settings. They cannot access dashboards without a google account. Free accounts can be signed up for here.
- Uncheck “notify user”: this might send a confusing email since they should access the dashboards through myGHC rather than datastudio explorer.
- You can review at any point who you have shared with in any dashboard by selecting the ‘Manage Access’ tab of the share screen.
- Once done, copy URL of dashboard in view mode to save Share Link below.
⚠️ Selecting “anyone with the link” or “anyone on the internet” breaches our teams and conditions since you are not able to control the security of your data since the link can be shared without restriction.
Did you know
- You can schedule pdf’s of your dashboard to be sent to yours (or others) email at regular intervals. Simply open the share button and select “Schedule email delivery”
- You can download google sheet data from any table. Simply click the 3 dots in any table and select “Export to sheets”
Save Share Link
Copy the URL from the copied datastudio dashboard you just setup and paste it below. By saving it here you’ll be able to quickly retrieve it from the myGHC page as well as be notified if a new release of the dashboard is created (prompting you to create a new shared dashboard/link).
