GHC Elvanto Trend Setup

Introduction

GHC Trends is an automated service which regularly collects key health measures from your ChMS each week and records them to present charts and analysis of trends over time.

Church Management Systems tend to focus on current ministry data and typically do not provide information on changes and trends to health measures in a readily accessible form. GHC Trends seeks to fill this gap by recording key measures into a third party data warehouse called Church Metrics. This automated data collection happens each week to store historical information. No personal information of people in your database is collected, rather just overal numerical measures.

After you have completed these steps we will setup the trend dashboards and notify you of it being added to your myGHC account.

There are 2-3 parts to setting up Trends

  1. Setup authentication (4min)
  2. Basic configuration of trends (3min)
  3. Optional: Adding richer measures (10min)

Setup Instructions

Elvanto

This section describes the setup tasks if you are using elvanto as your ChMS.

GHC Trends connects as an Integration to your Elvanto. The following steps will set up the Integration between your Elvanto and GHC Trends. They can only be carried out by the administrator for your Elvanto account and only need to be done once.

1. In Elvanto, navigate to Settings and open the link below in a browser :

2. Scroll to the bottom and click on Integrations

3. Click on Add Integration

4. Choose Custom

5. Enter (copy/paste) the details as below. Click Save to complete.

App Name  = GHC Trends

Description = Collect Health Measures

Homepage = https://www.growinghealthierchurches.com

After saving the above dialogue will close. 

6. Click on the integration you just created and reopen the dialogue box. This time the Client ID and Client Secret fields will be filled in. You will need to enter these values into the GHC Trends registration page at the link below. Open the link below in another browser window.

7. In the GHC Trends registration page, copy/paste the Client ID and Client Secret from Elvanto into their respective fields. In the Church ID field, enter the elvanto sub-domain prefix of your church elvanto. 

Then, click on Proceed and click on Authorise on the next screen to connect back to your Elvanto.

8. You must now login to Elvanto using your Administrator username and password. Click Allow Access to the 5 roles listed.

9. You should be presented with a Completion screen confirming that authorisation has succeeded and you are now able to supply your contact details to complete your setup. When you have entered your details, click Complete, then close this tab and also close the Authorise tab from step 7.

 (If you get a message that the authorisation has not succeeded, you will need to return to step 6 above.)

Configuration Instructions 

GHC Trends works automatically to collect health measures from Elvanto.

There is some basic information that can be collected very easily. The following 3 steps can be done within a few minutes.

Members

Configure the People Categories that you assign members to. If you’ve already setup GHC for your church this will already be done.

GHC Trends records the number of “Members” in your Elvanto each week. Members are distinguished by the People Category they are in. People will be counted as Members if the People Category they are in meets one of the following criteria 

  • The name of the People Category ends in “_” (underscore)
  • The name of the People Category begins with Member or Regular
  • The colour of the People Category ends in “1” (ie its colour code ends in the number 1)

Adult Members 

Configure the Demographic that you use for Adults

GHC Trends records the number of members who are Adults each week. Adults are distinguished by being assigned to a demographic with “Adult” in its name.

Groups

Configure the Group Category that you assign Small Groups to. If you’ve already setup GHC for your church this will already be done.

GHC Trends records the number of Small Groups and the people in them each week. Small Groups are distinguished by being in a Group Category with its name ending in “_” (underscore) (eg a Group Category named Small Groups_ )

Professions

People coming to faith in Jesus is such an important aspect of being a healthy church that we request you with some priority to create a custom field to track this.

Create a custom field called “Date Professed” as a Date field and record the date in a person’s profile. Follow the steps here if you need help doing this (you won’t need to worry about turbo sources for trends to use this).

Optional: Adding richer measures

The following steps can be used to collect richer information regarding the movement of people for longitudinal membership and attendance trends. Adding even just attendance will enhance health measures significantly.

Attendance

Service attendance is trended in 4 categories: Total, Adult, Child, Guest. If you are recording individual attendance, then include the Built-In statistics for these measures in your report. If you are recording headcounts, then setup 4 custom statistics that include the keywords and include them. If you sometimes record individuals and sometimes headcounts, include both sets of statistics and the largest will be stored for each service.

Configure a Shared Report of Service Attendance Statistics

  • Create a Comprehensive Report that includes an item of the built-in report for Service Reporting (Statistics) :
    • Select a wide Custom Date Range – eg 1/1/2000 to 31/12/2030
    • Select Exclude services without service attendance
    • Select Filter services by service types
    • Select the Service Types for the typical weekly worship services you wish to trend
    • For Built-in Statistics select Total, Adults, Children, Guests
    • For Custom Statistics select Total Headcount, Adult Headcount, Child Headcount, Guest Headcount (you may need to create or rename Reporting FIelds under Settings > Services if you are manually recording headcount attendance).
    • Save the report (eg Service Attendance Statistics for GHC Trends)
  • Generate the Report, Share to Anyone with a link, copy the Link to Share URL
  • Create a Group named GHC Trends Report of Service Attendance Statistics and save the report link URL from the previous step in the Address field of the Group.

Configure a Shared Report of Group Attendance Statistics

  • Create a Comprehensive Report that includes an item of the built-in report for Group Reporting (Statistics):
    • Select a wide Custom Date Range – eg 1/1/2000 to 31/12/2030
    • Select the Group Categories for your small groups (ending with an _)
    • For Built-in Statistics select People in Group, Members Attended, Guests, Adults
    • Save the report (eg Group Attendance Statistics for GHC Trends)
  • Generate the Report, Share to Anyone with a link, copy the Link to Share URL
  • Create a Group named GHC Trends Report of Group Attendance Statistics and save the report link URL from the previous step in the Address field of the Group.

People and Member History

Configure a Shared Report of People Activity Archived

GHC Trends can calculate better people and member history from Archive dates.

  • Create a Comprehensive Report that includes an item of the built-in report for People Activity
    • Select Archived
    • Select a wide Custom date range 1/1/2000 to 31/12/2030
    • Add Member ID as an Additional People Column
    • Save the report (eg People Activity Archived for GHC Trends)
  • Generate the Report, Share to Anyone with a link, copy the Link to Share URL
  • Create a Group named GHC Trends Report of People Activity Archived and paste the report link URL from the previous step in the Address field of the Group.

Configure a Shared Report of People Category Changes

GHC Trends can populate an historical record of weekly members from an elvanto built-in report.

  • Create a Comprehensive Report that includes an item of the built-in report for People Category Changes
    • Select List the people who were moved from one category to another
    • Add Member ID column
    • Select wide Custom date range 1/1/2000 to 31/12/2025
    • Save the report (eg People Category Changes for GHC Trends)
  • Generate the Report, Share to Anyone with a link, copy the Link to Share URL
  • Create a Group called GHC Trends Report of People Category Changes and save the report link URL from the previous step in the Address field of the Group.

Group People History

Configure a Shared Report of Group People History

  • Create a Comprehensive Report that includes an item of the built-in report for Group People History
    • Select a wide Custom Date Range – eg 1/1/2000 to 31/12/2030
    • Select the Group Categories for your small groups (ending with an _)
    • Add Member ID as an Addition People Column
    • Save the report (eg Group People History for GHC Trends)
  • Generate the Report, Share to Anyone with a link, copy the Link to Share URL
  • Create a Group named GHC Trends Report of Group People History and save the report link URL from the previous step in the Address field of the Group.

These reports will be used to determine the number of people in Member Categories and Groups each week and save the numbers in Church Metrics. This will provide more representative trending of health measures.
